Dundee and District Squash Rackets Association Constitution

1. Name of Association.

The Association shall be called the “Dundee and District Squash Rackets
Association”.

2. Objects of the Association.

The Association is constituted for the promotion of the game of squash and
racketball in the Dundee and District area and, in particular, to arrange
squash competitions and tournaments within that area.

3. Membership of the Association.

The Association shall be formed of recognised Squash clubs within the Dundee and
District area. Every such club wishing membership of the Association shall
apply in writing to the secretary of the Association who shall place such an
application before the management committee hereinafter mentioned, which shall
have power to determine whether or not membership should be granted.

4. Duty of members.

By joining the Association member clubs agree to abide by the rules of the
Association in force for the time being.

5. Withdrawal of membership.

Any member club wishing to withdraw from membership of the Association shall notify
the same in writing to the secretary before the Annual General Meeting in any
year, in default of which such clubs shall be liable for the subscription for
the ensuing year.

6. Club representation.

All individual members of clubs belonging to the Dundee and District Squash Rackets
Association shall be entitled to be present at the general meetings of the
Association but only 2 representatives of each club are entitled to vote at
general meetings of the Association.

7. Office Bearers.

The office bearers of the Association shall consist of a President, a
Vice-President, a Secretary/Treasurer and a Management Committee of such a
number as may be decided at the General Meeting of the Association. The
President, Vice-President, and Secretary shall be members “ex officio” of the
Management Committee. The office bearers shall be elected annually at the
Annual general Meeting of the Association and shall hold office for one year
only, but shall be eligible for re-election.
Additional committee members may be brought on to the management
committee by the committee to fulfil its commitments. These additional members must then be elected at the next General Meeting of the Association.

8. Powers of the Management Committee.

The Committee, which hold meetings as and when required, shall have the management
of all the affairs of the Association, and they shall be entitled to remit any
of their powers to sub-committees, Without prejudice to the fore-going the
Committee shall have power to adjudicate in all disputes and other matters
referred to them by member clubs, to determine the qualifications of clubs
wishing membership of the Association, and to employ the funds of the
Association in such a manner as the Committee shall deem to be in the best
interests of the Association and of squash within the Dundee and District area.
Four members present shall form a quorum.

9. Annual General Meeting.

An Annual General Meeting of the Association shall be held at least once in every
calendar year and not more than fifteen months after the holding of the
preceding Annual General Meeting. Not less than ten days notice of such a
meeting shall be given to all member clubs by the secretary of the Association,
who shall issue with the notice, an agenda detailing the business of the
meeting. At the Annual General Meeting the following business shall be
transacted:

a) Approval of the minutes of the previous Annual
General Meeting and consideration of any matters arising from said
minutes.Seven representatives present in person from member clubs shall form a
quorum.

b) Consideration of a report from the Management
Committee as to the financial and general affairs of the Association.Each
representative from any member club as provided for under clause 6 hereof shall
have one vote each.

c) Election of Office-Bearers and the Management
Committee as provided for under Clause 7 hereof.In the event of the voting
being equal, the Chairman of the meeting shall have a casting vote.

d) The fixing of the subscription payable by each
member club to the Dundee and District Squash Rackets Association for the
ensuing year.

e) Any other appropriate business of which three
days notice has been given in writing to the Secretary of the Association.

f) Any other business of which notice has not been
given provided there is a majority of two-thirds of those present, and entitled
to vote, in favour of such business being considered.

 

10. Extra Ordinary General Meeting.

An Extra Ordinary General Meeting of the Association may be called by the
Management Committee at any time and shall be called by them within
twenty one days of receipt by the secretary of a request in writing by five
member clubs of the Association for such a meeting. Not less than ten days
notice shall be given of such a meeting and such notice shall specify the
purpose for which the meeting is being called.

11. Voting at General Meetings.

a) Seven representatives present in person from
member clubs shall form a quorum.

b) Each representative from any member club as
provided for under clause 6 hereof shall have one vote each.

c) In the event of the voting being equal, the
Chairman of the meeting shall have a casting vote.

12. The Rules of the Game.

The Association shall adopt the rules of the game of squash, for the time being in
force, of Scottish Squash and Racquetball Ltd. and approved by the World Squash
Federation.

13. Alteration to these Rules.

These rules shall only be altered, added to or amended if approved by a two-thirds
majority of those present and entitled to vote at an Annual or Extraordinary
General Meeting of the Association at which not less than one-half of member
clubs are represented.
